Job Type: Part-time, opportunity for full-time 

Reports To: Office Manager/Dental Practice Manager

Job Overview:

We are seeking a detail-oriented and proactive Dental Insurance Coordinator to join our team. The ideal candidate will have a strong understanding of dental insurance processes, excellent communication skills, and a passion for helping patients navigate their insurance benefits. This position is key in ensuring smooth billing and claims processes while providing exceptional customer service.

Key Responsibilities:

  • Insurance Verification & Eligibility: Verify dental insurance benefits and eligibility for patients before their appointments. Ensure accurate coverage information is collected and maintained.

  • Claims Processing: Submit dental insurance claims, track claim status, and follow up on any outstanding claims. Resolve any issues related to claim denials or rejections.

  • Patient Billing: Work with patients to explain their insurance coverage and financial responsibilities, including co-pays, deductibles, and out-of-pocket costs. Provide clear explanations of treatment costs and assist with payment arrangements.

  • Insurance Communication: Serve as the primary point of contact between the practice and insurance companies. Communicate effectively with insurance carriers regarding patient coverage, claims status, and discrepancies.

  • Treatment Authorization: Obtain pre-authorization for procedures when necessary, ensuring the required documentation is submitted in a timely manner.

  • Patient Advocacy: Assist patients with insurance-related inquiries, including benefit explanations, claim issues, and general insurance questions. Advocate for patients to resolve insurance-related challenges.

  • Record Keeping & Documentation: Maintain up-to-date and accurate patient insurance records in the practice management system. Ensure all insurance information is correct and current.

  • Coordination with Clinical Team: Work closely with the clinical team to ensure proper coding and documentation for submitted claims, and resolve any insurance-related discrepancies.

  • Reporting: Provide regular reports to the office manager or practice manager on the status of claims, outstanding balances, and insurance-related issues.

Qualifications:

  • High school diploma or equivalent required; associate’s degree or higher preferred.
  • Minimum of 2 years of experience in dental insurance coordination or a similar role.
  • In-depth knowledge of dental insurance plans, billing procedures, and terminology.
  • Proficiency with dental practice management software (e.g., Dentrix) and Microsoft Office Suite.
  • Excellent communication and interpersonal skills.
  • Strong attention to detail and organizational skills.
  • Ability to handle sensitive patient information with confidentiality.
  • Knowledge of dental coding (ADA codes) and insurance claim processes is a plus.
  • Ability to work efficiently both independently and as part of a team.
