Position: Clerk, Child Care Financial Aid 

Location: Charlotte, NC. First 6 months onsite; then 3 days onsite, 2 days remote. 

Hours: Monday-Friday, 8am – 5pm. 

Type: Full-Time, Clerical

Our centers of expertise include Family Information Services, Program and Business Consultation, Financial Aid, and Research and Policy Development. 

Position Overview: We are seeking a dedicated and detail-oriented Clerk for our Child Care Financial Aid department. This role is crucial in supporting our mission by maintaining accurate records, providing excellent customer service, and ensuring timely communication with families and providers. 

Key Responsibilities:  

  • Maintain the CCRI waiting list for child care financial aid, including eligibility screening, data entry, mailings, and customer communication. 
  • Perform data entry for Co-Directors and Supervisors of Child Care Financial Aid as needed. 
  • Conduct customer service surveys and compile data for reporting. 
  • Maintain accurate data for authorized providers in ONECase. 
  • Achieve a high degree of accuracy in keying attendance. 
  • Collaborate with CCFA staff to resolve payment and enrollment issues. 
  • Provide technical assistance to providers regarding payment information. 
  • Provide relief for the receptionist on a rotating basis. 
  • Process agency mail and manage the Child Care Financial Aid Department’s mail daily. 
  • Maintain and file closed client files, including off-site packing and documentation. 
  • Order and stock all supplies needed for daily operations. 
  • Use personal transportation for periodic visits to centers, family child care homes, and unregulated providers. 
  • Assist in monitoring incoming calls to the CCFA Work Queue. 
  • Maintain all Child Care Financial Aid copiers and printers between servicing. 
  • Perform other duties as needed to support the agency’s mission and goals. 

Performance Requirements:  

  • Ensure timely and appropriate communications within and external to the organization. 
  • Comply with policies of CCRI and the Division of Child Development. 
  • Maintain confidentiality and advocate for children and families in support of the agency mission and goals. 

Qualifications:  

  • High school diploma and post-high school office management training and/or secretarial skills. 
  • Solid computer knowledge and secretarial skills. 
  • Excellent active listening and customer service techniques. 
  • Ability to communicate tactfully and establish good rapport with parents, child care providers, and CCRI staff. 
  • Working knowledge of human services and subsidy policies. 
  • Ability to work well under stress and meet deadlines. 
  • Adaptability to administrative and policy changes. 
  • Strong oral and written communication skills. 
  • Knowledge of child development and state/local eligibility regulations for funding and child care services. 
  • Ability to use good judgment in interpreting policies uniformly and fairly. 
  • Ability to tolerate different lifestyles and develop effective working relationships. 
  • Bi-lingual skills are a plus.
