Job Description
The Membership Organizer will be responsible for building member engagement and strong long-lasting relationships between WAISN and its organizational and individual members.
The Membership Organizer’s duties include answering queries, providing information, devising regular communication activities, maintaining membership records, and contributions management.
The Membership Organizer works cross-departmentally across all WAISN departments and acts as the liaison between WAISN staff departments and its organizational and individual members. The Membership Organizer will work closely with the Development Department to prospect and relationship-map donors, and solicit and obtain event sponsorships.
They will lead the work fostering and supporting the leadership, training, and organizing efforts of a well connected network of organizations and individuals working to build immigrant power. The Membership Organizer is responsible for ensuring members find continued value in their membership, with a focus on membership retention and new member recruitment.
This position reports directly to the Resource and Partnership Development Manager.
KEY RESPONSIBILITIES
Member Communications and Engagement (40%)
- Schedule and implement new member onboarding including training on WAISN values, initiatives, processes, and cultures, in collaboration with Culture and Wellness Coordinator.
- Assist new members with setting up directory entries.
- Maintain first-rate communication with members, being responsive to member inquiries, complaints, and suggestions in a timely manner.
- Ensure new and existing members are engaging with member benefits, and registered for listserv, Acton Network, our online hub.
- Assist members with day-to-day needs, including facilitating member benefit usage.
- Serve as liaison connecting members with one another and various WAISN departments, programs, and organizing spaces.
- Coordinate membership initiatives, events, and other opportunities for member engagement with all WAISN departments.
- Scheduling and promotion of member trainings.
- Format and send monthly membership communications.
- Own membership year-round engagement plan and ensure communication timelines.
- Draft all membership materials for approval, including thank you letters, renewals, web content, emails, appeals and special marketing materials as needed.
- Send member correspondences as needed to increase member engagement through proactive communications.
- Support the Development Department to prospect and relationship map donors, and solicit and obtain event sponsorships.
- Other duties as assigned as we develop an individual membership program.
Membership Administration and Operations (30%)
- Process new member applications for membership as part of the Membership Review Team.
- Online Community Membership Hub Management:
- Add new documents to online library
- Manage membership calendar
- Respond to member tech needs
- Manage the schedule of trainings that WAISN staff offer to members, liaison with WAISN teams offering trainings, work closely with Operations Coordinator to plan any in person trainings and convenings, and support with registration of trainings.
- Track member engagement in WAISN activities and develop and maintain reporting metrics to gauge member engagement and recruitment effectiveness.
- Maintain rosters of Steering Committee members, members of organizing tables, and volunteers.
- Maintain membership records and consistently update membership database.
- Work with Operations Manager to set up systems as needed for the collection of payments for dues and events.
- Review member requests for dues reductions and waivers with supervisor.
- Notify Operations Manager to send dues invoices when new members are approved.
Recruitment (25%)
- Create outreach strategy with oversight of supervisor and in collaboration with Culture and Wellness Coordinator.
- Actively participate and identify outreach events and opportunities to present our membership model.
- Lead and engage all WAISN departments in recruitment strategy to expand new membership and hold a minimum 80 percent retention rate of existing membership.
- Work closely with the Organizing and Communications Teams to develop and implement outreach and communications strategies to increase new memberships that are essential to hitting annual new member goals.
- Implement the WAISN overall brand strategy and professionally represent WAISN through personal interactions and phone conversations.
Election Management (5%)
- Maintain board member election schedule.
- Maintain nomination process documents and relay this information to members.
- Create ballot forms.
- Create pitch questionnaire form for organizational nominees.
- Release list of nominees to membership.
- Manage voting.
- Announcement of new board members.
- Liaise with board of directors as needed during this process.
JOB REQUIREMENTS AND PREFERRED PERSONAL TRAITS
- At least two (2) years of related work experience in membership and/or fundraising/donor management with preference given to those with association and/or nonprofit experience;
- A proven track record of success in membership or donor management in a non-profit or service-oriented industry;
- Minimum of two (2) years experience in public- or community member-facing positions which required working independently to organize and coordinate people and activities with proven working experience in project management;
- Demonstrated experience with accounts receivable or other payment collection processes;
- Proficiency with online payment portals. Ability to design and maintain payment-related procedures;
- Access to reliable Internet (high-speed, can work from home);
- Proficiency required in: Microsoft Office Suite, Google Workspace, Slack, AirTable or other form-building software, Canva or similar graphic design software, Wordpress or similar site management, membership/development software and databases, and use of email marketing platforms;
- A demonstrated commitment to social and racial justice issues and understanding of challenges facing immigrant communities, communities of color, queer and transgender communities, as well as low- and moderate-income families;
- A demonstrated commitment to cutting edge progressive values that champion an intersectional, decolonial, and transnational feminist agenda centered around the dismantling of all systems of oppression;
- Demonstrates self-awareness of their own multiple group identities and their unconscious biases, can adjust to different spaces accordingly;
- Ability to communicate and build strong relationships and trust across race, gender, class, and other group identities, both internally and externally;
- Knowledge and willingness to learn about the U.S. immigration system, preferably with lived experience as an undocumented person, immigrant, or immigrant family;
- Highly organized, self-driven, can independently manage multiple tasks successfully, and can work collaboratively;
- Demonstrated effective writing skills with excellent grammar.
- Willing to work in a collective environment with consensus-based decision-making.
- Bilingual/Multilingual skills are highly preferred and desired;
- Maintain a valid driver’s license. Ability and willingness to travel regularly and must live in Washington State or be willing to relocate.
COMPENSATION This is a full-time position. The salary range for this position is $70,000-$75,000 annually for full-time work, contingent on experience and mastery of written and spoken languages beyond English.
